What is an authoring tool?

An authoring tool is software that lets you create, edit and publish digital learning content without writing code. It is where a subject matter expert or an L&D professional turns raw knowledge (a procedure, a policy, a product update,...) into a structured eLearning module that people can actually work through.

Think of it as the difference between a document and a course. A document presents information. An authoring tool lets you build questions, scenarios, interactions and feedback around that information, so learners do something with it instead of scrolling past it.

Authoring tools are used by L&D teams, instructional designers and, increasingly, by the subject matter experts who own the knowledge: the safety officer, the product specialist, the compliance lead.

What does an authoring tool do

An authoring tool should cover following core jobs:

  • Build: assemble text, images, video and interactions into one structured module.
  • Structure: apply a learning structure, such as objectives, practice and a knowledge check, so the content teaches rather than only informs.
  • Brand: apply your fonts, colours and layout so every module looks like it came from your organization.
  • Translate: produce the same module in several languages for different markets.
  • Publish: connect the module to an LMS so learners can access it and results are tracked.

Why your choice of authoring tool matters

The tool decides who in your organization is able to create training. When it is complex, only a small technical team can use it, and every request from the business joins a queue. When it is approachable, the people who hold the knowledge build the training themselves. Look past the feature list and ask three questions. Can someone without a design or technical background produce something good on their first try? Does the tool push you towards active learning, or does it mainly produce slides with a next button? Do you need technical skills to use an authoring tool?
